Timmi temps combine conformité légale et pilotage de l'activité

Combine legal compliance and business management with Timmi Timesheet software

Article 46 of the Labor Law sets out the obligations of companies in terms of working hours monitoring. As an employer, you have to justify the schedules, the daily and weekly working hours and the duration of breaks for each of your employees.

Timmi Timesheet allows you to follow up the working hours according to your internal management rules and the SECO directives.

You are automatically alerted in case of non-compliance with the rules concerning working hours and breaks.

Timmi Timesheet manages:

  • Classic and simplified recording of working hours
  • Counting of overtime, night hours and weekend hours
  • Control of breaks duration, daily and weekly rest periods
  • Maximum duration of working time
  • Synchronization with leaves and absences in Timmi Absences
  • Possibility to transform timesheets into activity reports on billable missions (in simplified declaration mode)

Entering working hours made easy

Time tracking is a legal requirement, but it is also a tool for managing and monitoring workload. That said, it is too often poorly supported by employees. To remedy this, Timmi Timesheet eliminates the tediousness of time entry. Several input modes are available depending on the needs: monitoring of working hours, monitoring of working time (simplified declaration), or detailed monitoring of time spent on each activity or project (in simplified mode).

Attendance mode

Timesheets are pre-filled according to your rules and the employees’ contracts, so they only have to enter any discrepancy before submitting their timesheets. They can also use our Google Chrome™ extension to start and stop a timer directly from their browser.

Timmi knows how to calculate overtime perfectly and automates its processing: sending it to payroll in supported formats and / or to Timmi Absences as compensatory time.

Activity mode

In simplified mode, timesheet entries could be made in hours or fractions of days and are attributed to a predefined analytical framework: a project, client, mission, etc… If your employees work on specific tasks on a daily basis, they can save time by copying last week's timesheet or bookmark favourite projects.

Consultants can edit their activity reports in PDF format and share them with a third party, such as a client, with a single click.

A reassuring tool for HR Teams

In case of control, HR teams can access and download in a few clicks the employees' timesheets. But beyond the legal obligation, being able to visualize the employees' working hours per period (weekly, monthly, …), overtime and their valuation, is very useful on many levels. Timmi enables you to create and download customized reports on all this data.

Timmi Timesheet also knows how to calculate overtime, work on non-working days, etc… A specific framework can be applied to each of your operating cantons or countries.

On their side, the financial department can export these timesheet reports into their invoicing system or Business Intelligence software for complex analytical needs.

An assistant for your managers

With its configurable approval workflow, Timmi Timesheet simplifies the managers' tasks. They can approve timesheets directly from their dashboard and Timmi automatically informs them of any atypical situation: overtime, late timesheets, breaks, night work, etc. In addition, Timmi sends reminders for overdue timesheets.

Internal rules and legal working time limits can be configured for each legal entity or employee. In case of non-compliance with a configured control, an alert is triggered and a contextualized explanation of the contractual rules is provided.

How to compare time tracking software?

What is a time tracking software?

A time tracking software is a program that registers employees' working hours, as required by the 2019 judgement of the European Court of Justice.
Beyond responding to a legal matter, a time tracking software makes it possible to automate the whole process, save time to HR teams and adjust each employee's workload.

There are several types of time tracking software:

  • Those allowing employees to enter their start and end times for each day;
  • Those offering pre-filled timesheets for all employees with their theoretical hours, so that each of them only has to enter possible deviations. This is the case of our software Timmi, which allows the employee to register their working hours without wasting time.

What are the benefits of a time tracking software?

The benefits of a time tracking software for a company

A time tracking software should not only offer the registration of your working hours. An efficient software, that can really facilitate the company's internal organization, will:

  • Save time to HR teams so they can dedicate it to strategic tasks;
  • Generate reports to make forecasts and implement corrective actions (e.g., pull a report to identify overworked employees and seek solutions);
  • Have all data at hand in case of control;
  • Export data to other company tools, for example to your accounting or payroll software (to be able to integrate overtime into payroll, etc.);
  • Easily adapt to the company's evolutions, be it international or staff growth, thanks to a fully customizable and multilingual interface;
  • Securely archive records for up to 50 years, depending on legal requirements.

The benefits of a time tracking software for employees

Employees also benefit from using a time tracking solution:

  • It simplifies the entering of working hours, through a simple and user-friendly platform;
  • It allows employees to visualize their workload and the hours to be recovered or returned to the company;
  • It improves communication between employees and managers with the implementation of a system with configurable alerts;
  • It avoids human errors thanks to the digitalization of the process.

How to choose the right time tracking software?

What are the most important criteria to consider when choosing a time tracking software?

A time tracking software meets different needs depending on who uses it: the employee, the manager or the administrator.
You will find below a list of criteria to consider when choosing a software, depending on who uses it:

For administrators / HR teams:

  • Customized software configuration adapted to each employee's contract and profile;
  • Configuration of alerts based on the company's internal rules;
  • Export of variable items (overtime...) to payroll;
  • Records archiving for up to 50 years, to ensure legal compliance no matter the country or region you are in.

For managers:

  • Timesheets approval from a dashboard or email notification;
  • Manual reminders, with customized comments, can be activated;
  • Manual or automatic approval or denial of timesheets;
  • Possibility to delegate approval to another person;
  • Alerts in case the employees your supervise submit deviations (overtime, night work, etc.);
  • Report generation.

For employees:

  • Pre-filled timesheets with theoretical working hours to save time;
  • Calculation in real time of the differences between the theoretical and registered hours, according to the company's internal rules;
  • Alerts in case of deviations (overtime...), violation of company rules and for those who have not entered their working hours on time;
  • Access to the company's internal policies.

How to build your benchmark?

Monitoring your employees' working hours is a legal obligation, no matter if they are working in the office or remotely. However, you should not rush into choosing a time tracking software. Before making a decision, you should make a list of the features you need, so that you can compare the different software on the market and rate them based on your needs. A time tracking software responds to a legal requirement but it is also part of a reorganization process within the company to improve time management and free up HR time. A hasty decision could create frustrations if the software does not meet your requirements, resulting in a waste of time instead of a process simplification.
